TITLE: Club Services Specialist

DEPARTMENT: Branch – Little Earth

REPORTS TO: Program Director

SALARY: Starting at $15 hourly – Part-time

PRIMARY FUNCTION:
The Club Services Specialist is responsible for daily attendance and record-keeping of youth participation in Club database. This position will also prepare daily meals and snacks. The ideal candidate will be a positive, energetic self-starter who is passionate about supporting youth, social and food justice and working with young people.


KEY ROLES (Essential Job Responsibilities):

Front Desk

  • Maintain the front desk area. Including checking in all members, volunteers, and visitors. Members are checked in using CRM database Comet.
  • Retain and update member records utilizing the Comet program insuring accurate and timely reporting; update youth memberships annually.
  • Keep hard copy files of Club youth membership information up-to date.
  • Perform regularly scheduled backups of the database.
  • Assist the Program Director and other staff with monthly statistical reports
  • Assist the keeping of volunteer records and reports
  • Perform close-out duties at the front desk at the end of the day; support team in other closure duties.
  • Perform other related administrative duties as requested.

Kitchen

  • Fulfill meal and snack preparation duties; create weekly meal plans; submit weekly food orders to the Kids Feeding Kids Manager in a timely manner.
  • Adhere to and promote state guidelines for proper food handling, food preparation, and safety kitchen practices, including cleaning and upkeeping of kitchen on daily basis as required by CACFP and Health Department
  • Ensure that food programming is conducted within quality standards and aligned with the CACFP guidelines, and best practices in food safety, balanced nutrition, and youth development
  • Maintain all food records necessary for CACFP participation including meal counts, production records, and saving/labeling CN labels for food
  • Ensure that all meal intakes are counted, and participants are registered in the food program

Other

  • Provide support and assistance to other Club staff and program areas as needed.

 

RELATIONSHIPS:
Internal:

Maintains close, daily contact with Club staff (professional and volunteer) and Branch/Program Director to receive/provide information, discuss issues, explain guidelines/ instructions; instruct; and advise/counsel.

External:

Maintains contact with Club members, families and the general public to give and obtain information, either in response to inquiries or as instructed by Branch/Program Director.

SKILLS/KNOWLEDGE REQUIRED:

  • High school diploma or equivalent
  • One year of office clerical experience
  • Experience with preparing meals, preferable for large groups
  • Demonstrated knowledge of proper food handling procedures
  • Training in essential office skills and use of common office equipment
  • Skills and proficiency with current computer software and data entry systems
  • Good written and verbal communication skills
  • Good organization and attention to detail
  • Strong, positive customer relations skills


PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
Must be able to climb stairs, lift at least 50 lbs., be able to stand for long periods of time, and able to walk moderate distances. Occasional repetitive task required.
